Friends of Wighton Privacy Statement

The General Data Protection Regulation is in force from 25 May 2018. This Regulation requires us to be explicit about the retention and use of of personal information. As a result our policies and procedures for holding personal information have been updated.

Friends of Wighton (FoW) is a not-for-profit membership society that promotes awareness of, and the use of, the Wighton Historic Music Collection and other music collections held at Dundee Central Library. It does this through organising concerts and other music events and organising music tuition classes.

To do this, FoW holds and processes personal information of members and other individuals who have asked us to inform them about music events or music tuition classes taking place. We also hold and process information on other individuals who are (1) involved with managing the Wighton Centre, (2) press, radio and TV representatives, (3) musical performers and promoters.

The information (or, data) that we hold and process include some or all of:

your Title, Name, Address, Telephone Number, E-mail address, date membership started, details of subscription payments and donations (including how made); names for event bookings and/or tuition class attendances with the related amounts paid/due. All data we process has been provided by you through our membership application form and/or other communications between us. We do not collect information from any other sources.

For members of Friends of Wighton we use this data (1) to maintain our membership records and notify you of membership matters and FoW events; (2) maintain appropriate financial records of our activities (including subscription payments, donations and event and tuition class attendances, bookings and payments; (3) keep records of committee and general meetings and decisions and of correspondence with members; (4) notify you of third-party events or news announcements considered by the FoW committee to be of likely interest to members (e.g. third-party concerts)

For Tuition Class members, and concert attenders we use this data to notify you when events that that you have asked for information on will take place and to maintain appropriate financial records. If a tuition class member is aged below 13 years we will hold your name only and contact data will be those of a parent/guardian.

For Other Individuals we use this data to contact you about organising, publicising and promoting musical concerts and events.

We will not share your data with any other person(s) or organisations except (1) tutors of our music classes (2) our concert programme organiser, and (3) the independent examiner of our financial accounts. We may have to share data if legally compelled to by a court order or warrant or for official investigations (e.g. by the police).

We will keep your data secure and hold it until your membership ends or you ask us to stop contacting you. Your data will then be deleted as quickly as possible. Names only may be held for a longer period within committee/general meeting minute records or financial records that are kept for reference purposes. We will not share your data with and other persons or organisations. Your data will not be transferred to any other country.

We will hold and process your data on the Legitimate Interest basis provided for in the General Data Protection Regulation.

The Data Processors and Data Controllers are (1) the Secretary of the Friends of Wighton, (2) the Treasurer of Friends of Wighton, (3) The member that organises concerts/events, and (4) music tuition class Tutors.
